Study Abroad Planning - Step-by-Step Procedures List

To keep you on track as you plan for your studies abroad, the Office of International Education has created a list of procedures in a step-by-step, chronological order. 

This list will take you from your first thoughts about studying abroad to your first step off the plane in your chosen country.  And remember, if you ever have any questions along the way, the Study Abroad Staff will be happy to assist you.

STEP-BY-STEP PROCEDURES LIST


1. Explore this website, to familiarize yourself with programs, policies, and procedures.
2. Attend a general study abroad information session to learn about studying abroad.
3.

Attend a program specific meeting to learn in-depth information about individual programs.

4.

Meet with your academic advisor to discuss your academic plan, degree requirements, and your study abroad courses. Bring a list of remaining course requirements, for your major, minor UCCS and college core to your first one-on-one appointment with a study abroad advisor.

Note: If you intend to study abroad your senior year, contact your college's record office.

Schedule a one-on-one appointment with a study abroad advisor.  To schedule an appointment, call 414-288-7289 or stop in to the Office of International Education (OIE) in the AMU, room 425.  Remember to complete the initial inquiry form.

Note: ALL BUSINESS STUDENTS must meet with Dr. Jamshid Hosseini.  To schedule an appointment, call 414-288-3433 or stop in to David Straz Hall 101.

Apply for a passport or renew your old one!  The process can take up to 10 weeks and you will need your passport before you can apply for a student visa.  For detailed instructions, visit the US State Department website.

Note: Freshman year is not too early to apply!

7.

Start budgeting for your studies abroad. Use our budget planning sheet. Visit an advisor in the Office of Student Financial Aid to see how/if your financial aid will transfer for the program(s) you are considering.  If you are an EOP student, please see Jackie Walker.

Note:If you are approved through OIE to participate in a non-Marquette program, you must complete a consortium agreement if you are seeking financial aid or if you need to be considered full-time for loan deferment or insurance purposes. For more information, click here.

8.

Collect a Coures Approval Form from your college and obtain approval for the courses you hope to take while abroad.  Turn in the original form to your college 2-3 weeks before the deadlines listed in #10 and a copy to OIE with y our Confirmation of Study Abroad Plans. 9.

Complete and submit the program-specific application and required forms to the program contact by the indicated deadline (which may not coordinate with OIE deadlines).  For program-specific application requirements, go the Complete List of Programs, choose your program, and then find the application requirements section.

For non-Marquette programs, contact the the program directly for an application and contact OIE for program approval.

10.

Complete the Office of International Education's Required Application Materials and submit them to OIE in the AMU, room 425.  MU Study Center in Madrid and South Africa Service Learning program participants should disregard this step.

Spring Program Deadline: October 1
Summer, Fall, or Academic Year Program Deadline: March 1

Note: If the deadline falls on a weekend, forms must be submitted the following business day.

11.

Complete the Medical Information and Insurance Enrollment form and submit to OIE by the deadlines indicated below.  All students planning on participating in an academic study abroad program are required to enroll in the Marquette overseas health insurance plan through Cultural Insurances Services International (CISI).  Your Bursar account will be billed for the appropriate amount.  Click here for more information.

12. Obtain the appropriate travel documents, including a student visa (usually 4-12 weeks to process) if required for your host country.  For more information, visit the website for the consulate of the country in which you are studying (NOT the U.S. government).

Note: You MUST submit your passport and program acceptance letter along with your visa application and other required documents.  We recommend that you begin collecting necessary application materials 3-4 weeks prior to submitting your visa application.
13. Investigate the recommended and required immunizations you may need by visiting the Marquette Travel Clinic and the Center for Disease Control website.
14. Declare your major no later than the semester before you study abroad.  In Arts and Sciences, majors are declared through academic departments; in all other colleges, see your College office.
15.

Register for the appropriate study abroad placeholder course for the semester you will be abroad.  Summer study abroad students must also do this.  Placeholder courses are e-mailed to to students; registration does not need to occur on the designated registration day, but must be completed by the end of the early registration period.

16. Meet with your academic advisor to discuss the degree requirements you intend to fulfill abroad and which courses you will take the semester you return to Marquette.  Submit your signed advising card, if required by your college.
17.

Attend the appropriate pre-departure session(s).  Attendance is MANDATORY at a general session and a program-specific session.  Sessions are held in November and April (dates are announced at the beginning of each semester).

18. Check with the Office of the Bursar if you are receiving a refund check, or if you have an outstanding balance.  If you are receiving a refund, loan or scholarship check you should m ake arrangements for direct deposit.
19. Check with the Office of Residence Life to confirm all housing issues have been resolved.
20.

Update yourself on any risks or concerns you should be aware of in your host country by visiting the State Department, Centers for Disease Control and Prevention, and SOS International (Marquette password: 11BSGC000025)

Reminders for your term abroad:

  • Check your Marquette email account regularly, as all communication from
    OIE will come to that address.
  • Do not forget to register in CheckMarq at your appointed time, if abroad during the registration period.
  • If your program does not automatically send transcripts, please remember to request them.
  • Remember to bring all course materials and syllabi back to campus in the event you need to have courses approved or reviewed after your return.
