Frequently Asked Questions
- All student employees must be processed for
employment through the Student Employment Services Office
prior to starting work.
- Prior to the release of the Salary Authorization, a
valid completed I-9 Form must be submitted for
approval along with a copy of the student's Social
Security card and Drivers license. International students
must receive authorization from the International Office
before completing the I-9 form in the Student Employment
Services office.
- International Students must obtain a Social
Security number before payroll will issue a
paycheck.
- Students needing a new or replacement Social Security
card may apply for one at the Social Security
Administration and will then be approved to work for 21
days. Students must take their new Social Security card
to the Student Employment Services Office within 21 days
or face automatic termination.
- Prior to the release of the Salary Authorization ,
students must sign and submit an OSHA information receipt
form.
- All students must complete a W-4 form for tax
purposes. International students must complete an Alien
registration form in addition to the W-4 form.
- Students whose paperwork (completed and signed
Salary Authorization and time sheet) is not at the
Payroll Office by the Monday following a payday will not
have a check issued for that pay period. A late charge
may be billed to the department for manual check(s). In order for the student to be paid, the department must first submit the salary authorizations to the Student Employment Services Office, who will forward the paperwork to payroll. Time sheets should be submitted to Payroll directly.
- The 2003-04 academic year Work-Study Program begins August 21, 2003 and ends on May 13, 2004. No academic year Salary Authorizations should have an ending date that extends past May 13, 2004.
- Work-Study students must be enrolled for 6 credits
per semester as undergraduates.
- Work-Study students may continue employment after
exhausting their Work-Study amount provided the employer
is willing to pay 100% of the student's earnings. These
additional earnings will not jeopardize the student's
current financial aid award.
- International students must be enrolled for 12
credits per semester as undergraduates.
- Student Employment Services recommends that
students work no more than 20 hours per week during
classes. Students may never work more than 40 hours
per week.
- Students being paid from a grant account must first
have their salary authorization signed by the
comptrollers office.
- All student paychecks are delivered to the department
a student works for. Off-campus Federal Work-Study
students pick up checks at Student Employment Services,
1212 West Wisconsin Avenue, Room 415.
- If a student has more than one job, all wages will be
included in one paycheck and it will be delivered to
first place of employment. No student employee
wages are applied to the bill at the Bursar. All wages
earned are paid to the student in a bi-weekly
check.
