USING THE PHONE (Top)

  1. How do I use the telephone to record a personal greeting, an out of office greeting, or to change my name?

    Choose Personal Options:

      • Press 1 to record  your personal greeting
      • Press 2 to record your Out of office greeting.
        This is an alternative greeting that you choose to play rather than your regular greeting.
      • Press 3 to change your name.
  2.  How do I check my unread e-mail messages on the phone?
    Call your voice mail number or press the VM button on your phone. Enter your PIN and follow the prompts.
  3.  How do I check my calendar appointments on the phone?
    Call your voice mail number or press the VM button on your phone. Enter your PIN and say Calendar for Today, or Calendar March 5th.
  4.  I have a Siemens phone: How do I forward all incoming calls directly to voice mail, so that the phone will not ring?

    1. Get a dial tone on your assigned voice mail phone.
    2. Press the "Forward" key or dial #91.
    3. Dial 7, then the last four numbers of your extension.
    4. Hang up.
    To cancel Call Forwarding:
    Press the "Forward" key, or get a dial tone and dial ##91, and then
    Hang up.
  5. How do I use the telephone to access voice mail messages that were delivered to my old/OCTEL mailbox?
    Your old voice mailbox will remain in place for at least two months. You will be notified when this will be removed. To access messages, dial 8-3939, and use your OLD password.
  6. How do I transfer a caller directly to a voice mailbox, so that it will not ring on the recipient's phone?
    1. Press the transfer button on the phone.
    2. Dial 7 and the last 4 digits of the person's number.
    3. Press the transfer button on the phone as quickly as possible after entering the person’s number or they will not hear the recorded message.
    4. The call will go directly to the recipient's voice mail and will not ring on their phone.
  7. How do I switch from Voice User Interface to Touch Tone when using the telephone to access voice mail, e-mail, or calendar?
    If you prefer to use the keypad, press 0 in response to a prompt and you will hear a message that tells you to press 0 again to start using the touch tone system. You can press the numbers in the table below to make a choice from the main menu:

    You can also interrupt the instructions you hear and say one of the items above to make that choice immediately.

  8. Is it possible to move voice mail messages from my old voice mailbox to my new one?
    No. Voice mail messages that are archived in the old voice mailbox cannot be moved to your new voice mailbox. They will stay in place for the next two months. You will be advised about the date when all old mailboxes will be deleted.


USING MICROSOFT OUTLOOK 2007 (Top)

  1. When I click Play on a voice mail message in Outlook, I cannot hear the message.
    Check that the sound on your computer is not muted and adjust the volume.  To do this, click on the Volume icon on the bottom right corner of your screen in the task bar.

    It is possible that you do not have speakers on your computer.  If so, you need to purchase speakers or headphones, or play the message on a phone (see #2 below).  The following are suggestions for headsets and speakers to hear voice mails on the PC:

  2. How do I get a voice mail message that I receive via e-mail to play on the phone?
    Click the Play on Phone button on the e-mail message.  Enter the phone number that you want it to dial. For Marquette phone numbers, enter a 5 digit number, 8-XXXX.  For numbers off campus, enter 9- then the phone number.  Click Dial, and the phone number you entered will ring and the voice mail message will play.





  3.  How do I record an Out of Office greeting to play on the phone that is different from the standard voice mail message?

    By default a standard voice mail greeting is played to callers when they leave a voice mail message. You can change this greeting. Open Microsoft Outlook, click on the Tools menu > Options >Voice Mail tab. Check Out of Office voice mail greeting.  Click Call. Enter a number in the Play on Phone window.  Answer the phone when it rings and you will be prompted to record an Out of Office message. Check Voice mail greeting or Out of Office voice mail greeting to select the message you want to play when the phone goes unanswered.


  4. How do I enable or disable missed call notifications in Outlook?
    Open Microsoft Outlook, click on the Tools menu > Options > Voice Mail tab. Check or uncheck Send an e-mail message to my Inbox when I miss a phone call.
  5. I get so many e-mails I’m afraid I will miss a voicemail.
    Install Office Communicator 2007. Not only will you get presence information and IM capabilities it will also alert you to “unread” voicemails. The icon on the right of the task bar will flash, changing from to Learn more about Office Communicator 2007.
  6. How do I sort my e-mail in Outlook 07 so that I can view all phone messages?
    Click on the down arrow next to the search box to expand the Query builder. Enter "Voice Mail" in the Subject text box and press enter. This search will return all voice mail messages. Add further criteria to the search if you wish.
  7. How do I add annotations to a voice mail message in a text box?
    Click in the Audio Notes: text box to add notes to a message.
    Click on Edit Notes to edit the notes.
  8. A voice mail message that I listened to in Outlook is now in my Saved Voice Mails. How do I change it back to New Voice Mails? Right-click the e-mail message in Outlook that contains the voice mail message. Click Mark as Unread.

PINS/PASSWORDS (Top)

    Your new PIN must be:

    >Only numbers

    >At least 5 digits long

    Your new PIN must not be:

    >Only a single repeated number

    >Consecutive numbers

    >The same as your extension number

    Choose Personal Options, and press 3 to Change your PIN. Your PIN is a unique number you choose to protect the privacy of your mailbox. Do not reveal it to others and change it frequently.
  3.  How do I reset my PIN in Outlook?
    On the Tools menu, click Options > Voice Mail > Reset PIN. Click OK when a window opens asking if you want to reset your voice mail PIN. A temporary pin will be generated and the new number will be sent to your Inbox. When you check your voice mail on the phone, you will be required to set a new PIN.
  4. How do I reset my PIN in Outlook Web Acces (OWA)?
    Log on to eMarq. Click Options > Voice Mail > Reset Voice Mail PIN.
    Click OK when a window opens asking if you want to reset your voice mail PIN. A temporary pin will be generated and the new number will be sent to your Inbox. When you check your voice mail on the phone, you will be required to set a new PIN.
  5. What happens if I enter the wrong PIN more than twice on the telephone?
    If you enter the wrong PIN three times from your assigned voice mail phone, your PIN will be reset, and a new PIN will be sent to you via e-mail.

UNIFIED COMMUNICATIONS FOR MAC USERS (Top)

  1. Do Voice and Touch Tone inputs on the telephone work differently for Mac users?
    Use the telephone for voice or touch tone inputs in the same way that PC users do. Refer to the Unified Communications: Voice/Telephone Access Quick Start Guide (PDF)
  2. How do I listen to Voice Mails on computer?
    Listen to voicemail on your computer by opening the e-mail notification of a new voicemail message. The sound file must be in WAV format for a Mac user to listen to it. Unified Communication's default audio format (WMA) will be switched to (WAV) format for known Mac users. WAV is supported by Apple's QuickTime multimedia software which includes iTunes, QuickTime Player and other audio applications. These audio files appear as e-mail attachments with file names such as "87799 (15 seconds) voice mail.wav.

    If your voicemail attachments are being received as WMA files, please contact the IT Services Help Desk and request a format change to WAV.

    If a voicemail message is forwarded from an Outlook e-mail client, the attachment in the forwarded message will be in the WMA format and you will not be able to listen to this message, unless you use Windows Media Player 9 to play the message on your Mac. Please contact the Help Desk for installation.
  3. How do I reset my PIN?
    You cannot change your PIN on a Mac. A Help Desk request should be submitted to request a PIN reset.
  4. Is it possible to change my options for missed calls?
    You cannot change your preferences for missed calls on a Mac. Submit a Help Desk request if you would like to change this.
