Guidelines for Interlibrary Loans

Please review carefully all guidelines to determine the ones that apply to your needs!

Many of the department's microfilm collections, monographs, serials, and audio/video cassettes are available through local libraries via the interlibrary loan network. When completing a request form, please follow these procedures and feel free to contact us with questions and special needs.

If substantial use of the department's collections is anticipated (i.e. using more than six reels of microfilm), consultation with an archivist is advised, either in-person, by telephone, and/or by e-mail. Patrons who wish to borrow substantial amounts of the department's microfilm are advised to study the department's descriptive inventories and narratives and to submit a master plan prior to their first request. Since the department maintains only one circulating set of microfilm per collection, filing a master borrowing plan allows for substitutions without delay in event that any requested reels are on loan to other libraries.

Note that special fees are charged for some loan services.

Request by OCLC Network
Note that Marquette's OCLC symbol is GZQ. Please list it twice and write Special Collections/Archives request in the borrowing note section.

Request by FAX or U.S. Postal Service
Approved ALA forms are best, but others will be accepted. (ALA forms are available in small low cost quantities from library suppliers such as Demco, 800-356-1200 or Gaylord, 800-634-6307.)

Write Special Collections/Archives request on the verified line and send to the Marquette University Libraries Interlibrary Loan Department via either Fax or United States Postal Service. Do not send requests to Special Collections and Archives as this may delay your request.

Describing Special Collections, Including Microfilm
List only one title per form. On the author or first bibliographic line of all forms, list the name of the collection in full, e.g. Bureau of Catholic Indian Missions (U.S.). No initials please! On the title or second bibliographic line, write Records, Papers, or Collection followed by the dates, e.g. Records, 1848, 185- . Continuing on that same line, also add both the series and reel numbers, e.g. Series 1-1 Reels 7, 8, 9, 11, 12, 14, 15, 17, 18, 20, 22; Series 4-1 Reel 1.

If a request pertains to materials not in the Marquette Libraries catalog and the request has prior authorization from a Marquette archivist, please add under special instructions "Per conversation with Marquette archivist." Furthermore, if a request is for materials within the Bureau of Catholic Indian Missions Records, note that the OCLC bibliographic number is #37176199 and that this number should be used on both the OCLC and ALA forms.

LIB USE ONLY
In Marqcat--Marquette's Online Library Catalog--the term "LIB[rary] USE ONLY" means that patrons must use the item within Marquette's libraries or a borrowing library if it is available for interlibrary loan.

Restricted Microfilm
Microfilm designated as restricted is not available for interlibrary loans. This includes all reels in Bureau of Catholic Indian Missions Records, Series 2-1 School Records.

Loan Period
30 days is the regular loan period, however, 15-day renewals will be considered when made in advance.

Photocopies
Some materials, such as certain rare books and periodicals, are available only as photocopies. When loan requests are received for these items, table of contents will be provided to aid patrons in requesting copies of specific pages. A flat $8.00 copying fee is charged.  

Quantity Limits
On each form, please observe these limits.

Photocopies: 100 pages.

Bound periodicals: 6 volumes (6 bound units, not 6 years worth of issues, e.g. The Indian Sentinel, 3 annual numbered volumes equal 1 bound unit).

Microfilm and audio/video requests originating in the United States: 12 reels or cassettes.

Microfilm and audio/video requests from outside the United States: 6 reels or cassettes.

Shipments/Return Shipments
Marquette normally loans materials by shipping via the U.S. Postal Service. Materials should be returned in sturdy and secure cartons. Please do not return microfilm in jiffy bags. Extra insurance is required for some materials, such as microfilm @ $25.00 per reel and high value monographs @ the replacement price. A $10.00 replacement fee will be charged for each damaged microfilm box.

FAX and Rush FAX
For photocopies, fax and rush fax services are also available. For next business day service, the fee is $5.00 plus $1.00/page and for same-day service, $10.00 plus $1.00/page is charged.
