Minutes of the Meeting of December 2, 2003

  1. The Chair, Dr. William Kos, called the meeting to order in the Dean’s Conference Room in Raynor Library at 8:00am.

  2. The minutes of the last meeting were approved as distributed.

  3. Access to the Science Library

    In late summer, the science staff, the current periodicals and the reference collections, moved to Raynor Library.  Science books and bound journals remain in the Science Library with reduced hours that began with the fall semester.  These hours were noon to 7pm, Monday – Thursday; noon to 5pm, Friday, 10am to 5pm, Saturday and closed Sunday.  Some faculty questioned these hours noting that graduate students in particular would be denied access since these students often work during the day and take evening classes.  A few weeks after the semester began, the Libraries responded to this concern by extending the hours Monday through Thursday to 10pm.  Many faculty thanked the Libraries for the extension; however, some students and faculty continue to request more hours especially opening earlier, Monday through Friday and some open hours on Sunday.

    Longstanding plans for the Science Library facility called for creation of a closed storage building for pre-1990 bound journals of all disciplines.  The storage facility was to be created in the summer of 2004.  Several humanities and science faculty expressed concern about the plan to split the bound journal collection at 1990 between Memorial Library and the planned Science storage facility.  Dean Burckel met with some of these concerned faculty members.  To address these concerns, the Library Board has appointed a subcommittee of Board members to respond to options the Libraries’ staff will prepare.  Faculty members accepting appointment to the subcommittee are Dr. Marilyn Frenn, Nursing; Dr. Jeanne Hossenlopp, Chemistry; Dr. John Krugler, History; and Dr. William Thorn, Journalism.  The subcommittee and Libraries’ staff met in November to consider options.

    Additional compact shelving, now planned for installation in May, will make it possible to accommodate complete back runs of serials in all disciplines on the lower level of Memorial.  Exceptions will be for journals, indexes and abstracts available online and selected runs of journals long cancelled which have received little or no use since cancellation.  The Board subcommittee endorses this new plan, which will be implemented during the summer of 2004.

  4. Memorial Renovations

    Renovation of Memorial Library is continuing.  Compact shelving is being installed on the lower level to hold the bound periodicals.  On the first floor, the Technical Services Departments will move to renovated quarters in early January and the remainder of the first floor will have shelving installed to hold part of the book collection.  The second floor is being redone to provide shelving for the collection as well.

  5. Association of Research Libraries membership

    Earlier in the year, the Board discussed the impact on the Libraries of the University’s goal of “Going from a good university to a great one.”  The great university libraries are members of ARL (The Association of Research Libraries.)  Kirk noted that ARL requires that a university’s leadership, including the trustees, get behind this effort.  ARL needs to be convinced that a university is willing to commit significant funds to the libraries indefinitely.  To be accepted as an ARL library, the Marquette University Libraries would have to receive increased funding of millions of dollars for at least ten years.  Examples of ARL members are Notre Dame, Georgetown, Boston College, Harvard and Chicago.

    Board members thought that this was too much to expect of the University and perhaps a more reachable goal is to be ranked ahead of other Catholic universities such as St. Louis, Loyola of Chicago, Fordham, DePaul and St. John’s.  John Krugler will carry this information to the Executive Committee of the Academic Senate.

  6. Burckel announced that Raynor’s second floor would be open until 2am during the exam period, 12/1 – 12/12.

  7. Appointment Procedures

    Dr. Kos reported that Provost Madeline Wake would like to have two nominees for each vacant position on the Board.  The Board will send the names of two candidates for each open Board position to the Provost as the positions become vacant.

  8. Election of a Chair

    Marilyn Frenn was elected Chair of the University Library Board for 2004.

  9. Dr. Burckel thanked Dr. Kos for his excellent years of service as a member and as Chair of the Board.  His participation on the Board was of great assistance on many issues facing the Libraries, but particularly in reference to his work on the planning for Raynor Library.

  10. Next meeting will be held in January 2004.
