Mailing Tips: Dos and don’ts
For the best possible service, Mail Services offers the following "dos" and "don’ts." They include:
Do:
- Use Mail Services request forms to indicate how you want your mail sent (First Class, Certified, Bulk, UPS and so on).
- Contact Mail Services to obtain request forms whenever you are in short supply.
- Request special pick-ups for large campus or outgoing mailings.
- Always identify the department name and account number to be charged on your mail form.
- Keep campus mail separate from metered mail.
- Sort large campus mailings by department and rubber band each department separately.
- Keep foreign mail separate from domestic mail.
- Use rubber bands or tape to attach the Mail Services request form to your mail.
- Overlap the mail flaps on unsealed letters.
- Keep all mail facing the same direction.
- Always seal overstuffed or large packages that cannot be sealed by meters.
- Request special service, delivery confirmation and insurance on valuable items.
- Send excess campus envelopes back to Mail Services for redistribution.
Don’t:
- Mix campus with metered or stamped mail.
- Attach a form to each piece of a multiple-piece mailing.
- Use paper clips to attach mail forms (they fall off and jam mail meters).
- Enclose hard metal or binder clips in your mail, which may damage or destroy postage meters.
