Acquisitions Technician

Reporting to the Coordinator of Technical Services, the Acquisition Technician is responsible for core acquisitions duties of ordering of library collection materials, tracking open orders, processing received material, approving invoices, claiming missing items, and contacting vendors to resolve problems with receipt of items.

Specific Duties and Responsibilities

  • Order library materials, including e-books, out-of-print, used, foreign language, and audiovisual materials.
  • Process records and invoices in the library’s integrated system, the University’s purchasing platform, and via credit card payment.
  • Receive and review order requests, including the verification of order information, the creation of the order and bibliographic records and the placement of the orders with appropriate vendors.
  • Serve as a resource person for library acquisitions functions including training and overseeing staff in the performance of acquisitions-related duties.
  • Receive and check in shipments of materials; return damaged books to vendor.
  • Approve and pass invoices to Coordinator for review and approval for payment.
  • Perform order claiming by entering status reports into order records and regularly following up on outstanding or unusual orders.
  • Reconcile credit card statements and track expenditures in the library’s integrated system and the university purchasing system.
  • Create and send to Subject Liaison librarians files listing all materials received each week.
  • Collaborate with the Coordinator of Technical Services, librarians, and staff in technical services to address any issues that may arise while ordering and receiving materials.
  • Perform simple book repairs as needed

Required Qualifications

  • Proficient in computer, accounting, organizational, and communication skills.
  • 1-2 years related experience
  • 2 years of college.

Desired Qualifications

  • Library training or experience
  • Customer service experience
